What data we process, and why

• Enquiries via the contact form: name, email, phone number, company and your message — so that we can reply to you (legitimate interest).
• Booking meeting rooms: name, email, phone number, company and time — to fulfil the agreement and to record the payment in our accounts.
• Virtual office service: the company's details, the contact person, information about the owners and management (name, date of birth, nationality, country of residence, ownership share, and whether the person is politically exposed), a copy of a passport or driving licence, answers about the company's business, as well as records of post received and scans of letters.

Anti-money laundering checks

As a provider of business addresses, we are covered by the Danish Anti-Money Laundering Act (hvidvaskloven). We are obliged to know our customers, their beneficial owners and the purpose of the customer relationship, to assess the risk, and to keep the information up to date on an ongoing basis. The processing is carried out to comply with a legal obligation (Article 6(1)(c) of the General Data Protection Regulation (GDPR) and Chapter 3 of the Anti-Money Laundering Act).

Under section 30 of the Anti-Money Laundering Act, we keep the information for 5 years after the customer relationship has ended. After that, it is deleted automatically. We may be obliged to notify the Danish Money Laundering Secretariat (Hvidvasksekretariatet) without informing you.

Payment

Payments are handled by Stripe. We do not see your card details. Invoices are kept for 5 years under the Danish Bookkeeping Act (bogføringsloven).

Where the data is stored

The data is stored on our own server in the EU. Copies of ID documents and scans of post are stored encrypted and can only be viewed by our staff, who log in with two-factor authentication. All access to the documents is logged.

We use the following data processors: Stripe (payments), our email provider (sending emails) and our hosting provider.

Cookies

We only use necessary cookies to keep track of your session, for example when you place an order or are logged in to the customer portal. We do not use cookies for statistics or marketing. Fonts are loaded from our own server.

Your rights

You have the right of access, rectification, erasure, restriction of processing and data portability, as well as the right to object. The right to erasure does not apply to information that we are obliged to keep under the Anti-Money Laundering Act or the Bookkeeping Act. Write to info@coworkplus.dk.
